AI CRM notes: prepare the change before you write the field

A summary is not a system-of-record update
AI can help turn a permitted conversation into structured notes. That does not mean every generated field should be written directly to CRM. Notes, qualification fields, tasks and opportunity stages have different consequences. Treat them as separate actions with separate permissions.
A useful first version prepares proposed changes for the rep to review. It shows the previous value, proposed value and supporting evidence. The rep can accept, revise or reject each field instead of approving a whole paragraph blindly.
Define a field contract
| Field | Permitted evidence | Safe behavior when uncertain |
|---|---|---|
| Buyer problem | Explicit buyer statement | Keep unknown; ask a follow-up |
| Next action | Named action and owner | Suggest clarification, not a fabricated task |
| Budget | Amount and context stated by buyer | Do not infer from company size |
| Close date | Agreed milestone under your stage policy | Do not substitute a model estimate |
| Stage | Your documented exit criteria | Flag missing evidence for review |
Your own field policy may differ. Write it down before configuring the integration. The assistant needs the rules, and the reviewer needs a way to inspect them.

Worked example
Buyer statement: "We need to show this to operations, probably next month." Supported note: the buyer wants operations involved and suggested next month as a possibility. Unsupported updates: an agreed demo date, a confirmed decision maker or a next-month close date.
The proposed next action might be "Rep to confirm the operations attendee and meeting timing." It remains a suggestion until the account owner accepts it. Record where the evidence came from and when it was captured.
Prompt for proposed changes
From these permitted notes, return a table of CRM field, existing value, proposed value, exact supporting statement and review flag. Use unknown where the evidence is missing. Do not advance stages, assign commitments or overwrite verified information because the new summary sounds more confident. Return proposed changes only; perform no writes.
Review contradictory statements explicitly. A later note may supersede an earlier one, but only if you understand what changed. A timestamp alone does not make an ambiguous new statement authoritative.
Before enabling an actual connection
Specify the objects and fields it can read, the fields it can write, the approving role and the audit trail. Test wrong-account matching, duplicate contacts, retries, expired permissions and conflicting edits. Know how to undo a mistaken update. Never grant broad administrator access merely to make a demonstration work.
You also need a visible failure state. A rep should not mistake an unsaved draft for a completed CRM update. Require a receipt identifying the affected record and successful action, and keep customer data out of diagnostic logs unless your policy permits it.
Measure useful completeness
Track evidence-backed fields, incorrect changes, rejected suggestions, review time and failed writes. More populated fields are not necessarily better data. A correctly marked unknown is better than an invented answer that distorts qualification or forecasting.
