Use AI for prospecting emails without fake personalization

Personalization is relevance, not a compliment

An email that congratulates a prospect on an article and immediately pitches an unrelated service is not meaningfully personalized. AI makes that pattern cheap to produce at scale. It can also help you write a more relevant message if you give it a verified observation and a defensible reason for the conversation.

The goal is not to pretend you know the buyer. It is to make it easy for them to decide whether the subject matters. Keep the observation factual, the possible problem tentative and the next step small.

Build the message from four inputs

Use only permitted business information. Do not collect sensitive details or scrape a platform simply because an AI tool makes it possible. Have your team review applicable outreach rules, platform terms and suppression requirements before sending.

A worked draft

I saw your company announcement about the two new regional offices. When teams expand, the handoff between local sales and central operations can change. Is that something your team is working on, or is coordination already running smoothly?

This illustrative message is not guaranteed to get a response. Its advantage is that the recipient can answer honestly. It does not claim the company has a problem, invent a relationship or imply that the sender has examined private operations.

Prompt for a first draft

Draft three short business outreach options using only this verified observation and our approved service description. State possible friction as a question, not a known fact. Use plain language. Do not invent shared contacts, compliments, financial impact, urgency or customer results. Each option should ask one relevant question and include no unsupported company promise.

Select one version and edit it as a person. Read it aloud. Remove phrases you would never say on a call. If all three options sound interchangeable, improve the input rather than asking for a more persuasive tone.

Review before sending

  1. Does the source support the observation, and is it current?
  2. Does the recipient's business role make the subject relevant?
  3. Is the potential problem clearly a hypothesis?
  4. Is every service claim approved?
  5. Can the recipient easily decline, and will your process respect that?
  6. Are exclusions and suppression lists applied in the delivery system?

An approved draft is not proof that a send system is configured correctly. Keep content review separate from delivery permission, opt-out handling and account ownership.

Measure conversation quality

Compare similar account groups over the same period. Record useful replies, qualified conversations, opt-outs and complaints. A high open rate alone is not a success measure. Tracking mechanisms and security tools can distort engagement data; use buyer responses and downstream outcomes as stronger evidence.

If the assistant produces a false claim, record the failure and change the input or review rule. Do not solve the problem by making the email vaguer. Relevant, truthful outreach is the standard, even when volume is the business pressure.
