An RFP often asks sales to speak for security, delivery, finance and product teams. AI can organize the questions and find candidate material in approved sources. It must not fill a gap by making the company sound more capable than the evidence supports.
The essential artifact is a response register. Every answer has a question ID, source, owner, review status and final approved wording. That makes unresolved questions visible before submission.

Map these RFP questions to the supplied approved source documents. Draft an answer only where the source supports it. Include the question ID, supporting passage, document version and responsible owner. If support is missing, return clarification needed. Do not infer certifications, service levels, integrations or contractual commitments.
Use a permitted workspace. RFPs can contain confidential buyer information, and your approved answer library can contain sensitive internal material. Review where data goes before uploading either.
Worked example
The buyer asks whether a connector supports a specific write action. Your approved materials mention reading from that system. The answer is not automatically yes. Flag the distinction and ask the technical owner whether the write action is available, what permission it needs and whether it is in the proposed scope.
Find contradictions before submission
Compare answers across the response, proposal and attached schedules. A careful answer in one section can be contradicted by a broad promise elsewhere. Check dates, limits, exclusions and terminology. Make the final human review about the actual commitments, not just grammar.
Keep the library current
When an owner approves a reusable answer, record its effective date and when it needs review. Withdraw stale answers rather than allowing the assistant to choose whichever version is easiest to retrieve. Do not mix one customer's negotiated terms into the standard answer library.
Measure the right saving
Record assembly time, owner review time, unresolved questions and corrections after review. Faster first drafts are useful only if they reduce the total effort without increasing commercial risk. Continue with proposal review.
A useful test with an unanswered requirement
Put one deliberately unsupported question in your test set, such as a service-level commitment that does not appear in the approved source pack. Ask the assistant to answer the entire set. It should preserve that question as unresolved rather than extrapolate from a general support statement.
Have the relevant owner inspect the unresolved row. They may approve an answer, ask the buyer for clarification or determine that the requirement cannot be met. All three are useful outcomes. A response register that exposes a no is more trustworthy than a complete-looking document containing a guessed yes.
Prepare a final submission checklist
- Every question retains its original identifier.
- Mandatory response formats and attachments are present.
- Claims have current evidence and the right reviewer.
- Open requirements are visible to the bid owner.
- The submitted version matches the approved version.
Check the submission mechanics separately from the writing. A file uploaded successfully is not proof that every required field was submitted or accepted by the buyer's portal. Preserve the actual submission receipt and document version. If you discover a material mistake afterward, route the correction through the bid owner rather than quietly replacing an internal copy. That protects the team from relying on a record the buyer never received.
