Review an AI-assisted sales proposal before it becomes a promise

Drafting and approval are different jobs

AI can assemble a proposal outline from approved materials and discovery notes. It can also quietly add a guarantee, remove an exclusion or turn a tentative buyer request into a committed deliverable. Review the substance before improving the language.

Use current approved scope, pricing authority and delivery constraints. A previous proposal can provide structure, but its terms may not apply to this buyer. Do not ask the assistant to blend old proposals into a new commercial offer without checking every inherited term.

Prompt for a substance audit

Compare this proposal draft with the supplied approved scope, commercial terms and discovery notes. Return a table of unsupported promises, conflicting terms, missing dependencies and buyer assumptions stated as facts. Quote the draft passage and identify the source that supports or contradicts it. Do not repair pricing or invent delivery commitments. Flag them for the authorized owner.

The assistant may miss a problem. Owners must still inspect the terms they are responsible for. A clean AI review is not an approval receipt.

Worked example

The discovery notes say the buyer wants CRM integration. The approved scope says connections are confirmed during scoping. A draft saying "Includes integration with your CRM" is not a harmless wording change. Replace it only after the responsible team confirms the actual work, systems, access and price.

Improve readability after substance

Use a short objective, explicit deliverables, responsibilities, dependencies, exclusions and decision steps. Break dense paragraphs into scannable sections, but preserve the meaning of the approved terms. Do not simplify language in a way that removes a condition.

Before delivery

Check names, version, attachments and the intended recipient. Remove internal comments and other-client material. Store the approved version and who approved it. If the buyer changes scope, create a reviewed revision rather than editing the only copy in place. Pair this with RFP evidence review.

Run a red-line review on one paragraph

Choose the paragraph describing deliverables. Mark each noun that names work, each date and each claim about what the buyer will receive. Ask the assistant to map those statements to the approved scope. The delivery owner should inspect unmatched statements before anyone revises the prose.

Consider an illustrative draft promising "complete integration, full training and unlimited support." Each phrase hides a scope question. Which systems and actions are included? What training audience and materials? What support period and limits? The review should produce explicit terms for the authorized owners to confirm, not a more elegant version of the same ambiguity.

A delivery-ready approval record

  • Proposal version and the source scope version.
  • Commercial owner approval of price and terms.
  • Delivery owner approval of work and dependencies.
  • Account owner confirmation of the buyer objective.
  • Open items that prevent delivery or require clarification.

Store this record with the approved proposal. If an AI tool regenerates the document afterward, treat the new output as a new draft. Formatting changes can alter meaning, especially around exclusions and conditions. Compare the revised text with the approved version before sending. Do not let the existence of an earlier approval become blanket approval of every subsequent generated revision.
