Delivery needs the facts behind the sale

A long CRM history is not a handoff. The next team needs the buyer objective, agreed scope, responsibilities, commitments and open questions. AI can organize that information if the sources are current and the account owner reviews the result.

Keep the signed or approved scope distinct from informal discovery requests. A buyer asking for a capability does not make it part of the delivery commitment.

Assemble a handoff from these permitted approved records. Distinguish agreed scope from requested scope and rep interpretation. Cite the source for each commitment. List contradictions and unresolved questions with an owner to confirm them. Do not invent delivery dates or treat an old proposal as the final agreement.

Worked example

Discovery notes mention a CRM connection. The approved proposal says connection requirements will be scoped separately. The handoff must preserve that boundary. Otherwise delivery inherits a promise nobody approved and the buyer experiences a surprise.

Review it with both owners

The account owner checks buyer context and promises. The delivery owner checks whether the information is sufficient to start. Ask the receiving team what they cannot act on yet. A packet that requires immediate clarification is not complete simply because it has all the headings.

Keep unresolved items visible rather than smoothing them into prose. Some work can start with an open item; some cannot. The receiving owner decides that boundary.

Maintain the record

Store the reviewed packet alongside the authoritative scope. Update it when commitments change, with a version and owner. Do not let generated summaries become a competing source of truth.

Measure fewer rediscovery loops

Test the handoff with the receiving team

Give the draft packet to the person responsible for the first delivery action. Ask them to identify what they can do immediately and what they need clarified. Do not explain missing context verbally during the test; record it as a gap in the packet.

An illustrative receiving owner may know the agreed scope but not who can provide source material or approve access. That missing responsibility can delay work even when the sales summary is accurate. Add the named owner and dependency only after the account team confirms them.

A handoff acceptance check

  • The buyer objective is understandable without the full sales history.
  • The authoritative scope is linked and current.
  • Commitments have evidence and an approving owner.
  • Required inputs have owners and expected next steps.
  • Open questions are visible, not blended into confident prose.

Keep a feedback loop between sales and delivery. Repeated gaps suggest a discovery or proposal issue, not merely a formatting issue. If delivery routinely finds an unapproved promise, update the rep guidance and review rule. If the packet is accurate but a dependency has no owner, fix the ownership process. AI can help prepare the record, but the handoff becomes useful only when the receiving person can take an appropriate next action.
