What sales data should you put into an AI assistant?

Start with the task and the minimum input

The fact that a rep can access a record in CRM does not automatically mean they may upload it to another AI service. Define the task, permitted workspace, data types and responsible owner before sharing customer information.

Use public or sanitized examples for early experiments. For a drafting test, you rarely need an entire account history, personal contact details or confidential commercial attachments.

Questions for your owners

Where is the data processed and stored? Who can access it? Is it used for model training under your configuration and terms? How long is it retained? Can it be deleted? What audit evidence is available? Which data types are prohibited?

Have the appropriate internal owners answer these questions for the specific tool and configuration. Do not rely on a general statement that an enterprise plan is safe.

Prompt for an input audit

Review this proposed input list against our supplied data policy. Identify unnecessary information, items requiring owner approval and items prohibited by policy. Suggest a smaller input set for the stated task. Do not infer permission from the fact that the rep already has access.

An assistant can help organize the review, but policy owners make the permission decision.

Worked example

A rep wants to practice handling an implementation objection. Replace the real buyer name, account details and confidential terms with an illustrative scenario while preserving the relevant constraint. The exercise can still be useful without exposing the account.

Keep the process usable

Give reps a clear approved path and an owner for exceptions. A policy nobody can follow encourages workarounds. Teach what they may share, where and for which purpose. Verify actual access behavior before connecting more sources.

Review the workflow when the provider, settings, data types or use changes. Permission for a drafting pilot is not permission for automatic delivery or a new integration. Continue with tool evaluation.

Create a practical allowed-input example

Take a real task description, not a real confidential record, and show reps the smallest acceptable input. For a follow-up exercise, that might be a sanitized buyer problem, two confirmed facts and a proposed next question. Show a contrasting input that includes unnecessary personal details and confidential contract language.

Ask reps to explain what they would remove and which owner they would consult. This reveals whether the policy is understandable in everyday work. A long policy page is not enough if the team cannot tell which pieces of a note may be shared in an approved tool.

A workflow approval record

  • Named task and intended audience.
  • Approved tool and configuration.
  • Permitted and prohibited data types.
  • Retention, deletion and exception owners.
  • Review date and conditions that require reassessment.

Keep the approval close to the workflow, so a new rep or manager can find it. If the use changes from drafting to storing notes or sending messages, reassess it. The same input may have different exposure depending on the action and audience. Do not let a one-time sanitized experiment become an unreviewed connection to the full account database. The useful outcome is a clear path that lets reps work while keeping unnecessary information out of the process.
